# Privacy / policy

How we use the personal data we collect. Last updated 3rd November 2026.

## 1. Who we are

FORM / ONE is a product of Elevated Software Limited, registered in England and Wales with company number 15001673. Our registered office is at 18 Christchurch Road, Bournemouth BH1 3NE.

We are the controller of the personal data described in this policy. You can contact us about it at [hello@formone.co.uk](mailto:hello@formone.co.uk). We have not appointed a data protection officer, so please use that address.

## 2. What we collect

When you book a demo we collect your name, company, work email address, phone number if you give it, what your company makes, how many staff it has, the plan you are interested in and anything you write in your message.

When you email us we keep your email and our replies.

When you visit the website our hosting provider keeps standard server records, such as your IP address, browser type and the pages you asked for. Your browser also fetches our fonts from Google Fonts, which sends your IP address and browser details to Google.

If you accept analytics cookies, Google Analytics records how you use the website: the pages you view, how you arrived (such as a search engine or a link), your device and browser, your approximate location and whether you book a demo. It does not tell us your name.

If you accept, Apollo also records your visit: the pages you view, where you came from and your IP address. Apollo uses the IP address to tell us which company you work for. Its script also loads LiveIntent, which may match your visit to a work profile it already holds.

## 3. Why we use it

We use your demo request to reply to you, arrange and run your demo and follow up with you about FORM / ONE. Our legal basis is legitimate interests under Article 6(1)(f) of the UK GDPR. Our legitimate interest is answering business enquiries and showing FORM / ONE to companies that ask to see it.

Server records are used to keep the website running and secure. The legal basis is the same: our legitimate interest in a working, secure website.

We use Google Analytics to understand how people find and use the website so we can improve it. The legal basis is your consent under Article 6(1)(a) of the UK GDPR. You can withdraw it at any time with Cookie settings at the bottom of every page. Withdrawing it does not affect what was collected before.

We use Apollo to see which companies visit the website, so we can get in touch with companies that may be interested in FORM / ONE. The legal basis is your consent under Article 6(1)(a) of the UK GDPR, given with the same Accept button.

We do not sell your data. We do not use it for automated decision-making or profiling.

## 4. Who we share it with

We use a small number of providers who handle data for us: Web3Forms, which delivers the demo form to our inbox; Microsoft, which runs our email through Microsoft 365; and Hostinger, which hosts the website. They act on our instructions and may only use the data to provide their service to us.

Google receives your IP address and browser details when our fonts load, as described above. If you accept analytics cookies, Google also receives the analytics data described above and processes it for us under its terms for Google Analytics.

If you accept, Apollo (Apollo.io) and LiveIntent receive the visit data described above.

We will also share data if the law requires it.

## 5. Transfers outside the UK

Some of these providers may store or process data outside the UK. Where they do, the transfer is made under UK data protection law: either to a country covered by UK adequacy regulations or with appropriate safeguards, such as the International Data Transfer Agreement. Email us for a copy of the safeguards relied on.

## 6. How long we keep it

We keep demo enquiries and related emails for up to 2 years after we were last in touch, unless your company becomes a customer. Customer records are kept while the subscription runs and afterwards for as long as the law requires us to keep business and accounting records.

Server records are kept for a short period set by our hosting provider. Google Analytics data is kept for 14 months, then deleted. Apollo visit records are kept for up to 2 years.

## 7. Your rights

You have the right to ask for a copy of your data, to have it corrected or deleted, to restrict how we use it, to object to us using it and to receive it in a format you can take elsewhere. Email [hello@formone.co.uk](mailto:hello@formone.co.uk) to use any of these rights.

You do not have to give us your details. Without your name, company and email address we cannot arrange a demo.

If you are unhappy with how we have handled your data, you can complain to us at the same address. We will acknowledge your complaint within 30 days and tell you the outcome. You can also complain to the Information Commission, the UK data protection regulator.

## 8. If your company uses FORM / ONE

The records your company puts into FORM / ONE belong to your company. We process them as its processor under section 6 of our [terms and conditions](https://formone.co.uk/terms).

## 9. Cookies

Our [cookie policy](https://formone.co.uk/cookies) explains what the website stores on your device and how to change your choice.

## 10. Changes to this policy

If anything changes we will update this page and the date at the top.
